Frequently Asked Questions

What is included in my registration fee? The registration fees include attendance at the conference, refreshments/lunches, a delegate pack (inc. the programme, maps etc) as well as the Conference Banquet (Tuesday evening).  Please remember to select any extras you wish to attend when registering otherwise it will be presumed you will not go.

There are options to attend the Tuesday afternoon excursions (University of Aberdeen/Old Aberdeen tour, Crathes Castle visit, Glen Garioch Distillery visit). You may also wish to add whisky or gin tasting to the Tuesday evening dinner.

I still haven’t received my registration acknowledgement, invoice, or Joining Instructions SPAM – Please ensure the emails have not gone into your spam folder.  Please also ensure that the email address @abdn.ac.uk is known as a safe sender on your computer.

Acknowledgements: Online store registrations will automatically receive an acknowledgement once the transaction has been complete. If you registered by sending us an email or fax, this can take up to 21 working days.

Invoices:  will be processed by order they were received and if your company is already set up on our finance system, the invoice will be sent to the accounts payable email address.

Joining Instructions: usually sent out around 3-4 weeks prior to the conference. This email will include details of venues being used, maps, where to check-in etc.

When will I receive my invoice? If you have registered by sending us a registration document by email or fax, you will receive an acknowledgement email to your registered email address, and your registration will be processed by the order it is received, and you will be invoiced in due course.  If your company is already set up on our finance system, the invoice will be sent to the accounts payable email address. If not currently set up, you will be sent a supplier form to complete and return showing your company vat status.

I need to apply for a Visa.  Can you please send me an invitation letter? Should you require an invitation letter to the conference for visa purposes, please email cpdservices@abdn.ac.uk stating your:

  • registration order number
  • full name as it appears on your passport
  • date of birth
  • place of birth
  • passport number
  • passport issue date
  • passport expiry date

It is favoured that applicants register and pay to attend the conference in the first instance so that confirmation can be used as evidence of attendance.

How do I get from Aberdeen International Airport to the University of Aberdeen? The quickest and most convenient way to travel is by taxi, costing approximately £15-20.  There is the option however to get the Jet 727 bus from the airport to Aberdeen Bus Station (city centre), then get another bus to the University of Aberdeen (First bus numbers 1, 2 or 40, or a Stagecoach Bus heading to Ellon, Balmedie, Peterhead or Fraserburgh).  This is the most cost effective way, especially when buying a weekly bus pass for the duration of the conference. Grasshopper bus passes are available on the bus from the airport and can be purchased for a daily or weekly period.

My hotel is in the city centre, what is the best method of transportation in and around Aberdeen? For those staying in the city centre, you would be best getting a weekly bus pass called a Grasshopper ticket (available on the Stagecoach bus from Aberdeen airport).  This would allow you transportation to/from the airport and city centre, and again from the city centre to/from the University of Aberdeen on all Stagecoach or First buses.  There is a bus station at Union Square in Aberdeen which can give you all bus times and numbers.  Any bus heading to Ellon, Balmedie, Peterhead or Fraserburgh will stop on King’s Street which run parallel with the University of Aberdeen.  More information can be found here.

What is the dress code? The dress code for the conference will be smart/casual.  The dress code for the Conference Banquet is usually smart (some may even wear their kilts!).

Is there free wifi at the University of Aberdeen? Yes, we would recommend you connect to the ‘Aberdeen City Connect’ wifi. Should this be unavailable, there are a limited number of free wifi passes from the registration desk.  Please enquire with the event organisers.
